Calendly throws its hat into meeting note-taker circus

The productivity software landscape has become increasingly crowded as companies race to integrate AI-driven automation into the daily workflow. Calendly, the industry leader in meeting scheduling and booking, is the latest major player to enter the competitive meeting note-taking arena.

Expanding the Productivity Suite

Calendly’s new note-taking tool functions similarly to existing market solutions: it joins virtual calls, captures audio and video, provides real-time transcription, generates concise summaries, identifies action items, and drafts follow-up communications.

Beyond standard transcription, the company is currently piloting a feature—reminiscent of the Granola app—that utilizes system audio to capture meeting content. Furthermore, Calendly is preparing to launch Callie, an AI-powered assistant designed to leverage the platform’s existing scheduling stack. Callie will be capable of managing calendar availability, coordinating meeting times, and surfacing relevant context from previous interactions.

Targeting the Power User

According to CEO Tope Awotona, the strategic focus is on streamlining workflows for "outward-facing" professionals, such as those in sales and marketing, who often find their schedules overwhelmed by back-to-back meetings.

“There’s a litany of note-takers, and all of them do a great job of recording and transcribing notes. But a lot of work happens after the meetings. And we think that really that’s where the opportunity for our note-takers to be efficient,” Awotona stated.

Navigating a Crowded Market

Calendly enters a space saturated with established competitors. The field is currently divided into two primary camps:

• Dedicated Note-Takers: Apps like Granola, Fireflies, Read AI, Otter, and Fathom.
• Productivity Suites: Platforms like Notion, ClickUp, and Wispr, which have integrated similar AI assistants into their broader ecosystems.

Addressing Privacy Concerns

With privacy scrutiny intensifying for tools like Otter and Granola, Calendly is prioritizing transparency. The company’s note-taker is designed with strict notification protocols:

• In-Meeting Alerts: The assistant posts a message in the chat to notify participants of its presence.
• User Control: Any participant retains the right to request that the bot leave the meeting at any time.
• Proactive Scheduling: Through its integration with the Calendly scheduling system, the tool can notify participants that a call will be recorded before the meeting even begins.

By focusing on the post-meeting lifecycle, Calendly aims to differentiate itself from the "litany" of existing tools, betting that the real value lies in what happens after the transcript is generated.
